GDTAE Style Guide

A Style Guide For GDTAE Institutions when writing about technical education in Georgia
Prepared by the Northwest Consortium Communications Team
The Associated Press Stylebook and Libel Manual should be used as a guide to journalistic style and usage when writing for general audiences. The AP Stylebook and Libel Manual is available through most bookstores at a cost of $14.00.
The AP Stylebook is not intended to replace other style guides that apply to academic or technical writing and other specialized purposes. Use the AP Stylebook when no other style guidelines are available.
Why a stylebook?
A stylebook is needed, not to enforce conformity or "political correctness," but to ensure accurate written communication. Writers should not have to guess about items such as:
the proper name of a technical institute an instructional program the best way to express a policy The objective is to allow maximum room for creativity while bearing in mind that, when we write for official purposes, we are speaking for the Department of Technical and Adult Education rather than expressing ourselves. As GDTAE STYLE will demonstrate, the Department of Technical and Adult Education does not advocate slavish adherence to style. Usage in the AP Stylebook and GDTAE STYLE are offered primarily as recommendations to help writers to avoid pitfalls and misunderstandings. The relatively few instances when a certain usage is prescribed rather than recommended are plainly indicated, using phrases like "do not" or "always." Otherwise, writing is an art more than a science, and experienced writers will always come up with varying solutions to the same problem. When you have a better idea, use it-and suggest it for updates to GDTAE STYLE, so others can profit from it as well. GDTAE STYLE offers additional recommendations one would not expect to find in the AP Stylebook, as well as particular instances when the Department recommends alternatives to the AP style.

Refer to degrees as bachelor's and master's (not bachelor and master) but associate (not associate's). Doctoral or doctorate is preferred to "doctor's" while "doctor degree" is incorrect.
The actual names of the degrees vary. Do not make an assumption that a person with a master's degree necessarily has a master of arts; the actual degree may have another title such as master of mass communications.

ADA (Americans With Disabilities Act) statement Brochures, schedules, advertisements and posters addressing a specific program or class should include the ADA statement. Refer to page 14 for compliance statement to be included in publications.

Most journalistic styles omit courtesy titles such as Mr. Ms. Mrs. Miss in news stories except in obituaries,
although New York Times style (used by the Atlanta Journal and Constitution) follows different usage. If you use
courtesy titles, it is essential to know and observe the individual's preferences rather than guessing.

Although the title Dr. (doctor) is not generally used for social or journalistic purposes when referring to holders of academic degrees other than doctors of medicine, it is appropriate in an academic or educational context, but care should be taken to avoid confusion. Media Releases
Information is released to the news media either at 1) their request or 2) because we desire that the information be publicized.
A successful news release requires the following elements: A clear sense of what the release is expected to achieve. A definite idea of when the release should be sent. A clear sense of the desired target audience. Full factual background for a news story: (who, what, when, where, why - and usually what next?) Contacts and sources for additional information.
If f!!D'. of these elements is missing, it must be completed before the process of preparing a release can begin.
Objectives for the release
These must be more specific than "to get some publicity." Publicity without a plan merely reinforces what people already think. The objective may be as simple as increasing attendance at an upcoming conference or as announcing a new program and letting prospects know where to get information. More complex objectives may be to demonstrate a need for funding in a specific area, to encourage counselors to discuss technical education with appropriate students, to offer nontraditional careers as an option to women or minorities, or to demonstrate the contribution a program or initiative has made. In no case are we indifferent to the effect a release ought to have and we should not write releases as if we were.
Time value If the release needs to appear at a particular time, that time must be stated and adequate preparation time allowed.
Target audience If a release has a purpose, it must also have an intended audience. There really is no such thing as a "general audience." You may want to reach legislators, school counselors, employers, employed persons, community leaders, or some other group or combination of groups. The intended audience directly affects not only the distribution of the news release, but the manner in which it is written.
