DIRECTIONS FOR ORDERING BOOKS FOR PUBLIC LIBRARIES
STATE DEPARTMENT OF EDUCATION ATLANTA 3, GEORGIA 1957-58
Unless these directions are carefully followed. the stte can~Qt be ~2onsibl~_ for delays in fillinq orders for library book~
1. All orders must be sent to the Division of Instructional Materials and Library Service, State Department of Education, Atlanta 3, Georgia.
2. Orders must carry the signature of the bonded treasurer or chairman of the library board (or the county school superintendent when school matching funds are involved), and must be clearly marked "Public Library Order". ~summaEY sheet must accom2any~state Qrder2-i2! books or maqazines. (See example, P.5) If school matching funds are involved, the order must be marked to show which school system funds are to be used. Using a summary sheet avoids having the treasurer sign each sheet of the order.
3. At the headinq of all order sheets must appear the name of the individual publisher or the name of the prebinder and the name of the bQnded t~ ~! or chairman of the library board (or county school superintendent if school matching funds are involved) and the address to which the books are to be shipped. All orders must be made out in TRIPLICATE. Two copies of every order must be sent to the Division of Instructional Materials and Library Service of the State Department of Education, Atlanta 3, Georgia. The third copy is for the library files. Special order blanks will be supplied by the State upon request.
EY 4. *]2oks mU!~listed publisher with a separate order p120~fQ!-~acb_

only one title of a publisher is ordered. ~ks ordered from a prebi02inq~Q~pany must have the books listed alphabetically by-publish~!-

this should be in ordering from the "List of Pre-bound Juveniles"

issued by the State Department of Education which gives no publishers.

On prebinding orders only should more than one publisher be given on a

single sheet. (See example, P. 6)

5. The number of copies wanted, the approved ~TION SOURCE for each

book. author, title. date. Eublisher and list price of each book re-

quisitioned must appear on the order sheet. Individual titles must

be given when ordering series books such as Basic Science Series.

Please qive dates and paqe numbers for sources in periodicals. (See

note at end of # 5) If more than one copy of a title is ordered, in-

dicate the extended price. (See example, P. 6) Approved SELECTION

*Dates and page numbers must be given for these selection sources. Indexes are not available for current issues of these sources hence dates and page numbers are extremely important. Publishers' and jobbers' catalogs are NOT approved sources of recommendation. ADVERTISEMENTS IN REVIEWING PERIODICALS QO NOT CONSTITUTE A RECOMMENDATION. USE ONLY CRITIgAL REyIEWS AND BE GUI~.~ 12Y lNHAT THEY SAY AS WELL_AS BY YOUR OWN LIBRARY'S BOOK BUYI~~LPOLICY. QRDERS WILL BE RETURNED IF TITLES ARE SELECTED FROM ADVERTIEMENT~~ 6. In the majority of approved lists the regular trade price. called the list price, is given. The entire order must be totaled and a 30 per cent discount subtracted from this total before the order is sent to the State Department of Education. If net price is used or the order is for encyclopedias, H.W. Wilson Publications, maps or films, do not take a discount and indicate that you are using net prices. Do not mix list and net prices on the same order sheet. 7. When catalog cards are wanted mark STATE CATALOG CARDS WANTED in bold letters, red, if possible, on each sheet of the order. If cards are not wanted for every title on an order, the notation NC, meaning NO CARDS must appear in the left margin opposite the title of the book. If cards are not wanted for all titles on every sheet of an order, the request "State Cards Wanted" must appear in bold letters on the su~mary sheet in order to prevent requests for cards on inner pages from being overlooked. It is most important that these directions be followed implicitly. Orders for cards are often overlooked if this information is given in the wrong place. If more than one set of cards is needed,

- 4-
set up a column in the margin of the order to the left of "No. Copies," and place number of sets of cards desired in that column on a line with the title of the book. (See example on P. 6) Draw a line between the columns for "Sets of Cds." and "No Copies" so that the two numbers cannot be read as one number. 8. Immediately upon receipt of a book order, or any part of it, the invoice accompanying the shipment must be checked. If it is correct, it must be siqned and dated by the librarian or person responsible for the order and mailed immediately to the jobber or publisher. If it is incorrect, a notation to that effect must be made on the invoice and the invoice mailed to the jobber or publisher. The Department cannot pay bills without approved invoices having been sent to the jobber or publisher and publishers will not continue to send books to libraries whose bills have not been paid. 9. As soon as possible after notice is received that certain titles cannot be furnished, a substitute order should be sent to the State Department of Education. Substitute orders cannot be accepted for cancellation on orders that are more than a year old. Directions for making up a substitute order are given on page 10.

- 10 Substitute orders are made exactly as regular orders except they do not have to be signed by the bonded treasurer or superintendent and should be marked "SUBSTITUTE ORDER" on each page. They should be for the same amount as the cancelled
order, but the books do not necessarily have to come from the same publishers. h
list of books for which substitutes are being made must accompany~he_ubstitut~ order. (See example, P. 9) When possible, attach cancellation notices received from the jobber or individual publisher to this list. Do not send the library copy of an invoice that includes cancellation notice. Be sure to give the price of each title and the order number and date of the order on the list of titles not received Indicate whether or not catalog cards are desired. There will be no extra charge i cards were ordered for the titles which were not received. Ho substitute order wil be fille3-if more than a year has passed since the original order was made. Do not
REINFORCED BINDINGS The Library Committee has indicated titles in the Georgia lists which will giv more satisfactory service if purchased in reinforced or prebound bindings. Each lib will have to determine whether the longer life of a book, which this reinforcing or prebinding insures, outweighs the additional cost. In making out an order for books with such bindings LIST THE BOOKS ALPHABETICALLY BY PUBLISHERS AND ALPHABETICALLY E AUTHORS UNDER PUBLISHERS. The name of the prebinding company should appear at the top of the page where the publisher's name ordinarily appears. Mark your order" 1 Be Prebound"in a prominent place on each page of the order and indicate any special type of binding desired. (See example on P.6) After the amount of the order has been totaled and a 30% discount subtracted, add $1.15 for each book that is being_ ordered unless a different amo~D.:Lis indicated on the followin~qe. -Do--n-o-t -u-s-e-

DATES FOR PLACING PUBLIC LIBRARY ORDERS THROUGH THE STATE Public library orders can be handled with greater speed and efficiency if substantially large orders are sent in the late summer, early fall and spring. The school orders must, of necessity, be placed in the late fall and winter months. County and regional libraries are requested, therefore, to get in large orders as soon as possible after applications are approved.
